Why We Request Funds Upfront Before Instructing Works
At Sillars, part of our role as your managing agent is to ensure that property maintenance is carried out efficiently, professionally, and with minimal disruption to your tenants. Once a maintenance quote has been provided and accepted, we request funds from our clients before instructing contractors to proceed with the work.
This approach ensures we can fulfil our duty to pay contractors promptly, keep projects running smoothly, and provide full transparency over costs and payments.
Why Are Funds Requested After Quote Acceptance?
To Ensure Prompt Payment to Contractors
Once you’ve approved a quote, we are responsible for ensuring the contractor is paid in a timely manner. Having funds on account allows us to instruct works without delay and maintain trusted relationships with our network of reliable contractors.Avoiding Work Delays
Contractors are more likely to prioritise jobs where payment arrangements are secure and in place. By holding the funds in advance, we can confirm bookings quickly, reducing the risk of delays that could affect your property or inconvenience your tenants.Clear Financial Accountability
Requesting funds based on an accepted quote ensures full financial clarity. You know exactly what you’re paying for, and we ensure the funds are used solely for that purpose.
How Are Your Funds Managed?
All funds are held securely in our ring-fenced client account, which is:
Separate from company funds
Non-interest bearing, in line with client money handling regulations
Only used once works are completed and verified
We do not pay the contractor until the job is finished and has been checked to meet the required standards. This safeguards your funds and ensures quality control.
Our Nominated Payment Account
For your security, please note that we will only ever ask you to transfer funds to the following account:
Account Name: SILLARS PROPERTIES LIMITED
Bank: Griffin Bank
Sort Code: 04-36-14
Account Number: 05167602
Important:
When making payment, please ensure you use the first line of the property address as the reference. This helps us correctly allocate the funds to your account and avoid any delays in processing your works instruction.
If you ever receive alternative payment details or are unsure, please contact us immediately before proceeding.
What Happens if the Work Changes?
If:
Additional work is required,
The cost changes after approval,
Or the job is cancelled before funds are used,
We will contact you for further instruction. Any surplus funds will either be refunded or, with your agreement, retained on account for future authorised works.
In Summary
Requesting funds after quote approval allows us to:
Act quickly on your behalf,
Pay contractors without delay,
Ensure funds are properly protected,
And keep the maintenance process smooth and compliant.
If you have any questions about this process, our team is always here to assist. You can also track quotes, works, and payments through the Street.co.uk landlord app for full visibility and control.
